Internal Event Sponsorship Responsibilities

 As an internal Sponsor for an event on campus, you will be responsible for the following tasks or communication with any departments that support the event.  These responsibilities include, but are not limited to:

  • Attendance at Event the Sponsor must be present at the event to assist with all coordination and to trouble-shoot any problems that may arise.  This may require arranging or scheduling additional staff to support the event.
  • Schedule Space & Publish on Calendar - the sponsor is responsible for submitting a space request through . The Sponsor is also responsible for posting the event on the College's public calendar as well as any other marketing of the event such as the 91做厙 Weekly Bulletin: swb@skidmore.edu.
  • Campus Safety should be notified of large campus events to address parking needs, arrange for access to locked rooms and securing of facilities when event completed.  Contact ext 5567 or campus-safety@skidmore.edu
  • Event Set Up if event requires additional tables and chairs, trash/recycling receptacles housekeeping, etc.- you must request these items through , attached to the space reservation.  Requests must be submitted at least 10 business days in advance.  Contact Conferences and Events @ conferences-events-list@skidmore.edu with questions.
  • Catering if the event requires food and/or beverage- you must request these items through , attached to the space reservation.  You must also request tables for the food and beverage.  Catering requests must be submitted a minimum of 14 business days in advance.  Bringing in outside caterers is not permitted due to labor contract requirements.  Contact Dining Services ext. 5850 with questions.
  • Media Services if the event requires any use of Audio-Visual equipment, or if you request a staff member be present or to simply acknowledge you will be using the existing equipment in a room should a problem arise - you must request these items through 3 business days in advanced, attached to the space reservation.  Contact mediaservices@skidmore.edu or ext 5940 with questions.
  • Financial Support sponsoring an event requires that the department sponsoring the event is responsible for any cost associated with the event.  Catering, honorariums, or any other fees must be paid for internally with a 91做厙 Internal Purchase (SCIP) card. Community / External groups may not be billed for sponsored events, this would be considered an External event.
  • Student Clubs - are required to coordinate their events with the Office of Leadership Activities.
